How to Use the Time Card Calculator

  1. Enter Daily Shift Times: For each day worked (Monday through Sunday), enter your clock-in time and clock-out time using standard 24-hour time or the browser clock picker.
  2. Deduct Unpaid Breaks: Enter the total minutes taken for unpaid meal or rest periods (e.g. 30 for a 30-minute lunch). The calculator automatically subtracts break time from gross shift duration.
  3. Configure Overtime Rules: Select your applicable standard overtime threshold:
    • Standard Weekly: Overtime is calculated for total weekly hours exceeding 40 hours (standard U.S. Fair Labor Standards Act rule).
    • Daily & Weekly: Overtime applies to hours exceeding 8 hours in a single workday, or cumulative weekly hours exceeding 40 hours.
    • Daily Only: Overtime applies strictly after 8 hours in a single shift.
  4. Enter Hourly Wage (Optional): Type your base hourly pay rate to preview estimated regular earnings, 1.5× overtime pay, and total gross compensation.

How Work Hours & Overtime Are Calculated

Our calculation engine uses pure integer minute arithmetic to eliminate floating-point rounding errors and timezone discrepancies:

  • Gross Shift Minutes:Gross Minutes = Clock Out Minutes - Clock In Minutes (plus 1,440 minutes if spanning past midnight).
  • Net Shift Minutes:Net Minutes = Gross Minutes - Unpaid Break Minutes.
  • Decimal Hours:Decimal Hours = Net Minutes / 60 (rounded to two decimal places for payroll display, e.g. 8 hours and 15 minutes = 8.25 hrs).
  • Gross Overtime Pay:Overtime hours are multiplied by 1.5 × Base Hourly Rate (time-and-a-half).

Converting Minutes to Decimal Payroll Hours
